Privacy policy

What I collect, why I collect it, who else sees it and how long I keep it. Written to describe what this website genuinely does, not to cover every eventuality.

Who is responsible

Simga Coaching Limited, trading as Simga Coaching, is the data controller for personal information collected through this website. That means we decide what is collected and why, and we are accountable for looking after it.

What I collect

Only what the site actually needs to work. In practice that is:

Macro counter
Your age, height, weight, sex, activity level and goal. These are worked out entirely in your browser and are not sent anywhere unless you ask for the plan by email, in which case they are stored alongside your email address so the plan makes sense.
Enquiries
Your name, email, phone number, what you are interested in, and whatever you write in the message box.
Client accounts
First name, surname, email, phone number, what you are working towards, and a securely hashed password. If you sign in with Google I also receive your Google account id and profile picture.
Bookings
The date and time of your session and any notes you add when booking. Your name and email go onto the calendar invite so you receive it.
Orders
What you bought, the colour and size, whether you are collecting or having it posted, and if posted, your delivery address. Card details are handled entirely by Stripe and never reach this site.

Health information

Some of what you tell me counts as health data, which the law treats as a special category needing extra care. That includes injuries, medical conditions, medication, pregnancy, and anything you mention about your body or wellbeing in your goals, your booking notes or an enquiry.

I only process this because you have given me explicit consent by choosing to tell me, and I use it for one purpose: to coach you safely. It is never used for marketing, never shared with anyone else, and never sold.

You can withdraw that consent at any time by emailing me, though I may not be able to keep training you safely without it.

Why I am allowed to

To deliver what you have signed up for
Client accounts, bookings and orders are processed because we have a contract, or are about to.
To reply to you
Enquiries are handled on the basis of legitimate interests. You got in touch, so replying and keeping a record of it is expected.
Because you asked
The emailed macro plan, any marketing, and all health information rely on your consent. You can withdraw it whenever you like.
Because I have to
Order and payment records are kept to meet HMRC requirements, which is a legal obligation rather than a choice.

Who else sees it

A handful of suppliers process data on my behalf. Each is bound by a contract to use it only for the service they provide.

Google
Workspace, Calendar and Gmail. Your name and email appear on session calendar invites, and confirmation emails are sent from my Workspace account.
Stripe
Payment processing for shop orders. Stripe collects your card details directly and I never see them. Stripe is based in the United States and Ireland.
Neon
The database. Hosted in London.
Netlify
Website hosting and server functions.

Some of these involve your data being transferred outside the UK. Where that happens it is covered by the safeguards those providers have in place, such as the UK addendum to the standard contractual clauses.

I do not sell your data, and I do not share it with advertisers.

How long I keep it

Enquiries and macro counter signups
Two years from our last contact, then deleted.
Client accounts and training records
While you are a client and for six years after your last session, which is how long insurers and HMRC expect training records to be available.
Orders and payments
Six years from the end of the tax year they fall in.
Health information
Deleted when you stop training with me, unless it relates to an injury or incident, in which case it is kept with your training record.

Your rights

You can ask me to:

Show you
A copy of everything I hold about you.
Correct it
Fix anything wrong or out of date.
Delete it
Erase it, where I am not required to keep it for tax or insurance reasons.
Stop
Restrict or object to how I use it, and withdraw any consent you have given.
Move it
Send you a portable copy of anything you gave me.

Email admin@simgapt.co.uk and I will respond within one month. There is no charge. If you are not happy with how I handle it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

This site uses three cookies, all strictly necessary for it to function. None of them track you, build a profile, or feed anything to advertisers, which is why you are not being asked to accept a banner.

pt_session
Keeps you logged in. Expires after 30 days or when you log out.
pt_cart
Remembers your basket. Expires after 30 days.
pt_delivery
Remembers whether you chose collection or delivery. Expires after 30 days.

Stripe sets its own cookies on its checkout pages, which are covered by their privacy policy rather than mine.

Emails and marketing

Emails about something you have done, such as a booking confirmation or an order receipt, are sent because you asked for that thing. They are not marketing and you cannot unsubscribe from them without closing your account.

If you asked for your macro plan by email, you also consented to occasional training tips. Every one of those carries an unsubscribe link, or you can unsubscribe here at any time.

Under 18s

This website is not intended for children. Do not create an account if you are under 16, and the macro counter is not suitable for under 16s in any case.

I do coach under 18s, including through charity work, but that is always arranged directly with a parent, guardian or the organisation involved rather than through this site.

Changes to this policy

If this changes, the date at the top changes with it. If the change is significant and you are a client, I will tell you rather than leaving you to notice.
